Job Summary

The Executive Assistant provides high-level administrative and operational support to senior leadership, ensuring efficient management of schedules, communications, meetings, travel, and key business priorities. The role requires exceptional organizational skills, discretion, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

  • Manage executive calendars, appointments, and meeting schedules.
  • Coordinate internal and external meetings, including agenda preparation, logistics, and follow-up actions.
  • Screen, prioritize, and manage emails, calls, and correspondence.
  • Prepare presentations, reports, meeting minutes, and other business documents.
  • Track action items and ensure timely follow-up with relevant stakeholders.
  • Coordinate leadership reviews, town halls, offsites, and other executive events.
  • Handle confidential information with a high degree of professionalism and discretion.
  • Liaise with internal teams, customers, vendors, and external partners on behalf of the executive.
  • Drive process improvements to enhance executive productivity and operational efficiency.
  • Provide ad hoc administrative and project support as required.

Qualifications

  • Bachelor's degree in Business Administration or a related discipline.
  • 3–8 years of experience as an Executive Assistant, Personal Assistant, or similar administrative role supporting senior leadership.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and collaboration tools such as Microsoft Teams.
  • Strong written and verbal communication skills.
  • Excellent organizational, planning, and time management abilities.
  • Ability to prioritize competing demands and work under pressure.
  • High level of integrity, confidentiality, and professionalism.
  • Strong stakeholder management and interpersonal skills.

Preferred Skills

  • Experience supporting CXOs or senior executives.
  • Exposure to project coordination and event management.
  • Experience with expense management and travel booking tools.
  • Ability to work independently with minimal supervision.
