Executive Assistant
Reporting to: Member of the Board
Location: Gurgaon / Manesar (On-site)
About the Role
We are hiring an Executive Assistant / PS for the Strategy & Planning Office. This is a high-visibility, high-ownership role that sits at the centre of execution for both professional and personal priorities of a Member of the Board.
You will manage calendars, communication, coordination, content, and operational workflows across multiple businesses. You will also handle selective personal tasks, calls, and social media coordination to free up leadership bandwidth.
Ideal for someone who is structured, proactive, digitally skilled, and enjoys being the execution backbone for a fast-paced senior leader.
About the Reporting Manager – Member of the Board
You will support a Member of the Board who has built and scaled businesses across technology, consumer, and industrial sectors. He works closely with leadership teams, investors, influencers, and global advisors.
Your role is to ensure he stays fully prepared, organised, and protected from noise — while keeping momentum across all priorities.

Your Qualities
- Highly organised, proactive, and detail-driven
- Strong verbal and written communication
- Excellent drafting, email etiquette, and presentation skills
- Advanced computer skills (Excel, PowerPoint, Google Workspace)
- Comfortable with content creation, social media handling, and basic design tools
- Relationship-focused, calm under pressure, and solution-oriented
- High discretion with confidential information
- Ability to multitask across business and personal workstreams
Experience Required
3–6 years supporting CXO, Founder, or Board-level leadership in EA / PA / Personal Secretary roles.

Key Responsibilities
1. Calendar, Meetings & Coordination (25%)
- Manage and prioritise daily calendar
- Prepare agendas, brief notes, and meeting readiness documents
- Coordinate cross-functional meetings and external interactions
- Track deliverables and ensure structured follow-ups
- Support planning of leadership reviews and events
2. Communication, Drafting & Social Media (25%)
- Draft, proofread, and manage email and message communication
- Coordinate with internal teams, agencies, and external partners
- Maintain updated contact and relationship databases
- Assist in content creation: captions, notes, short posts, summaries
- Coordinate leadership’s social media schedule and content flow
- Represent the leader professionally in all correspondence
3. Travel & Logistics (20%)
- Plan domestic and international travel
- Prepare itineraries and documents
- Coordinate logistics for meetings, board sessions, and conferences
- Track reimbursements, budgets, and payments
4. Execution, Tracking & Operational Follow-ups (20%)
- Track progress across multiple ongoing projects
- Build simple dashboards, trackers, and status updates
- Coordinate documentation, approvals, and workflow movement
- Ensure timely completion of all instructions and tasks
5. Personal Assistance & Organisation (10%)
- Manage selective personal calls, messages, and scheduling
- Maintain files, records, and digital documents
- Coordinate personal tasks, renewals, reminders, and communication
- Uphold absolute confidentiality across all personal and professional matters
