Role Description
- This is a full-time, on-site role based in Vadodara including some travel across India, for an Executive Assistant to the Managing Director / Chief Executive Officer.
- The role involves providing comprehensive executive administrative support, including managing calendars, scheduling meetings, coordinating travel, and preparing agendas, meeting briefings and minutes.
- The Executive Assistant will handle confidential correspondence, draft and review documents, and support presentations and reports for internal and external stakeholders.
- The role includes coordinating with internal teams and external partners, organizing events and reviews, and ensuring the MD / CEO’s time is optimized for strategic priorities.
- The Executive Assistant will also track follow-ups, maintain accurate records and documentation, and support office administration tasks related to the executive office.
Qualifications
- Candidates should possess strong Executive Administrative Assistance and Administrative Assistance skills for managing day-to-day executive office operations.
- Candidates should possess solid Executive Support capabilities, including handling confidential information, preparing reports, and supporting decision-making.
- Candidates should possess effective Diary Management skills for calendar coordination, scheduling, and prioritizing appointments and meetings.
- Candidates should possess excellent Communication skills, both written and verbal, for interacting with senior leadership, clients, and internal teams.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and general digital tools relevant to executive support, as well as comfortable with evolving AI technology without over-reliance on it.
- Strong organizational and time management abilities, with attention to detail and follow-through on tasks and deadlines.
- Prior, preferably 12+ years experience supporting C-level or senior leadership, preferably in financial services, insurance, or professional services.
- Bachelor’s degree in Business Administration, Commerce, Management, or a related field; advanced certifications in administration or management are an advantage.
- Professional demeanor, discretion, and the ability to work independently while collaborating effectively with diverse teams.
Additional:
• Candidate should be comfortable travelling when the work requires it;
• Preference for candidates with a background or working knowledge of insurance industry.
