iKure is looking for a mature, organised, and dependable Front Office & Administration Manager who can anchor front office, administration, coordination, vendor management, and cross-team support across multiple locations.

This role requires someone who can be the central coordination point for the office, while also supporting teams working across different geographies, programs, clinics, and field locations.

Key Responsibilities

  • Manage the front office and ensure a professional, welcoming, and well-organised reception area.
  • Act as an administrative anchor for coordination across teams, departments, and multiple geographies.
  • Coordinate with office teams, field teams, project teams, clinics, and external stakeholders to ensure smooth communication and follow-up.
  • Support leadership and internal teams with scheduling, coordination, documentation, and administrative follow-ups.
  • Handle visitors, guests, partners, vendors, and incoming calls with maturity and professionalism.
  • Coordinate meetings, conference room bookings, hospitality arrangements, and office-level support.
  • Manage daily office administration, including housekeeping, pantry, stationery, courier, supplies, and general upkeep.
  • Ensure cleanliness, seating discipline, office decorum, and proper maintenance of common areas.
  • Coordinate with vendors, service providers, maintenance teams, and building support staff.
  • Support travel, hotel, cab, ticketing, and logistics coordination when required.
  • Maintain office records, visitor logs, inventory lists, admin trackers, and coordination documents.
  • Support onboarding arrangements for new employees, including seating, ID cards, basic office orientation, and coordination with HR.
  • Help manage office events, workshops, partner visits, internal meetings, and cross-location coordination.
  • Ensure timely follow-up on repair, maintenance, housekeeping, facility, and admin-related issues.
  • Coordinate with Finance, HR, Operations, and Program teams for bills, vendor payments, attendance support, documentation, and routine admin requirements.
  • Track pending admin matters and ensure closure with proper follow-up.

What We Are Looking For

  • Around 10 years of experience in front office, administration, office coordination, facility management, executive support, or cross-functional coordination.
  • Prior experience in a corporate office, healthcare organisation, startup, consulting firm, hospitality, service sector, or multi-location organisation will be preferred.
  • Ability to manage and coordinate with teams across multiple geographies.
  • Strong follow-up, coordination, and documentation skills.
  • Good communication skills in English, Bengali, and Hindi.
  • Presentable, polite, mature, and confident in handling visitors, senior stakeholders, and external partners.
  • Ability to manage multiple responsibilities without losing attention to detail.
  • Good understanding of office discipline, hospitality, vendor coordination, and admin processes.
  • Basic computer skills, including email, MS Office, Excel, and calendar coordination.
  • Must be dependable, punctual, organised, and solution-oriented.

Important Requirement

  • Candidate must be based in or willing to work from South Kolkata.
  • Regular office presence is essential for this role.
