Job Description:

The Payroll Coordinator / Payroll Specialist performs various functions in the organization.


Roles and Responsibilities:

  • Collect, review, and track employee and contractor timesheets, ensuring hours are complete, accurate, properly approved, and submitted by payroll deadlines; follow up on missing or late submissions.
  • Enter and reconcile approved hours across client portals, internal tracking systems, and ADP Workforce Now, coordinating with employees, managers, recruiters, and clients to resolve discrepancies.
  • Execute and maintain payroll processing checklists and validate employee pay rates, employment status, work locations, payroll frequency, and other payroll-related data before processing.
  • Audit payroll and timesheets for duplicate or excessive hours, missing breaks, unauthorized overtime, unusual entries, and discrepancies involving regular hours, overtime, ETO, holiday pay, gross/net pay, taxes, deductions, reimbursements, bonuses, and adjustments.
  • Review preliminary payroll registers, compare results with prior pay periods, investigate material variances, maintain discrepancy logs, and verify payroll totals against approved funding or bank withdrawals before final approval.
  • Maintain complete documentation of payroll preparation, reviews, approvals, corrections, and authorized changes; support off-cycle, retroactive, corrected, voided, and reissued payments.
  • Manage payroll activities for new hires, employee changes, and terminations, including onboarding data validation, pay-rate and status changes, final hours, ETO payouts, deductions, final-pay requirements, applicable state deadlines, and authorized system deactivation.
  • Prepare employee home-cost calculations, including wages, payroll taxes, benefits, insurance, and other employment costs, for Payroll Manager review and ADP entry/approval.
  • Track and reconcile employee deductions, including health, dental, vision, retirement, advances, repayments, garnishments, and other authorized deductions; verify eligibility and effective dates and coordinate corrections with HR or the Payroll Manager.
  • Maintain federal, company, and client-specific holiday calendars; communicate payroll deadlines and holiday schedules; verify eligibility and accurate coding of holiday pay across ADP, timesheets, and client portals.
  • Track and reconcile ETO accruals, usage, balances, carryover, adjustments, and requests; verify eligibility and approvals, investigate discrepancies, manage approved negative-balance exceptions, and track unpaid, parental, disability, and other payroll-impacting leave.
  • Respond to employee payroll inquiries regarding pay, hours, deductions, taxes, direct deposits, ETO, and holiday pay while maintaining accurate, confidential payroll records and supporting documentation.
  • Prepare payroll variance, headcount, overtime, ETO, gross-pay, and total payroll-cost reports; reconcile payroll expenses and liabilities to QuickBooks and investigate differences.
  • Coordinate with accounting and billing teams to align payroll hours with client billing records and support payroll audits, reconciliations, month-end/year-end activities, and federal, state, local, company, and client compliance requirements.
  • Provide ongoing administrative and operational support to the Payroll Manager and payroll team.
