Role Description The Senior Event Coordinator is responsible for supporting the planning, execution, marketing, and commercial success of Mercom's conferences, summits, buyer-seller meets, executive roundtables, and webinars. The role takes ownership of delegate acquisition, event coordination, attendee engagement, vendor management, and on-site execution to ensure every event meets Mercom's standards for quality, attendance, and customer experience.
The position requires a highly organized, proactive individual who can manage multiple priorities, work independently, and ensure projects are executed on schedule.
Key Responsibilities
Delegate Acquisition & Business Development
- Lead delegate acquisition campaigns through outbound calling, email marketing, WhatsApp, and industry outreach.
- Work closely with the Events and Sales teams to achieve registration, attendance, and ticket sales targets.
- Develop and maintain strategic partnerships with industry associations, trade bodies, chambers of commerce, and business organizations in key cities to expand Mercom's delegate network, increase registrations and attendance, and establish a sustainable pipeline of qualified attendees for all Mercom events.
- Identify new delegate segments and outreach opportunities to continuously grow Mercom's attendee base.
- Monitor registration trends and proactively recommend initiatives to improve attendance and delegate engagement.
Event Planning & Coordination
- Coordinate the planning and execution of conferences, summits, buyer-seller meets, webinars, and executive roundtables.
- Develop and maintain detailed project plans, timelines, and milestone trackers for assigned events.
- Coordinate with venues, hotels, vendors, exhibitors, sponsors, and service providers to ensure timely execution of all event deliverables.
- Support speaker coordination, attendee communication, registration management, and on-site event operations.
- Ensure all event logistics are completed accurately and on schedule.
Vendor & Logistics Management
- Coordinate venue logistics, hotel accommodations, transportation, audio-visual requirements, catering, branding, signage, and event production.
- Follow up with vendors and partners to ensure commitments, timelines, and quality standards are met.
- Identify operational risks early and resolve issues before they impact event execution.
Team Coordination
- Assist in coordinating the daily activities of the Events Team.
- Support Event Coordinators and team members by providing guidance on delegate outreach, registrations, and event coordination.
- Monitor assigned tasks and follow up to ensure deadlines are met.
- Promote accountability and timely execution across the team.
Reporting & Process Improvement
- Prepare registration, attendance, ticket sales, and event performance reports.
- Analyze delegate acquisition, attendance, and conversion metrics for each event.
- Recommend improvements to increase registrations, improve attendee engagement, and enhance operational efficiency.
- Maintain accurate event databases, trackers, and documentation.
- Continuously identify opportunities to improve event planning processes and customer experience.
Performance Expectations
- Meet and exceed delegate registration, attendance, and ticket sales targets.
- Deliver assigned events on time and to Mercom's quality standards.
- Build and maintain a strong pipeline of qualified delegates through strategic partnerships and outreach.
- Ensure accurate reporting and effective coordination of all assigned event activities.
- Demonstrate initiative, ownership, professionalism, and strong attention to detail in all aspects of event execution.
Qualifications
Experience planning and managing conferences, seminars, exhibitions, or corporate events.
Strong communication and customer service skills.
Experience in sponsor outreach, partnerships, and event-related sales.
Excellent organizational and multitasking skills with the ability to manage multiple events.
Proficiency in Microsoft Office and event management tools.
Experience in the renewable energy, clean energy, or B2B media industry is a plus.
Bachelor's degree in Event Management, Business, Marketing, Communications, or a related field.
Previous experience in a senior event coordination or event management role is preferred.
