We are looking for a highly organised, proactive and trustworthy Executive Assistant to work closely with a Founder, Creator and public personality building in the women’s wellness, content and brand ecosystem.
This is a unique role for someone who can bring structure, calm, follow-through and operational support to a fast-moving creative and entrepreneurial environment.
The role will begin with calendar management, scheduling, coordination, follow-ups and day-to-day operational support. Over time, as trust and capability are built, the role may grow into a deeper Creator Operations position involving shoot coordination, brand deliverable tracking, campaign support, payment follow-ups, internal coordination and high-trust executive support.
This is not a typical desk job. It is a high-responsibility role that sits at the intersection of content, brand work, personal coordination, founder support and creator operations.
The founder’s world involves multiple moving parts — content creation, brand collaborations, shoots, meetings, travel, family responsibilities, wellness-related business work, and coordination with multiple internal and external teams.
We are looking for someone who can help bring order to this ecosystem.
The ideal person should be able to manage schedules, track tasks, follow up with people, coordinate logistics, maintain simple systems, and ensure that important things do not fall through the cracks.
This person must be discreet, mature, dependable and highly professional. Since the role may grow into handling more sensitive professional and commercial information over time, trustworthiness and values are extremely important.
In the initial phase, the role will focus on:
- Managing daily and weekly calendars
- Scheduling meetings, calls, shoots and appointments
- Creating daily priority lists and reminders
- Tracking pending tasks and follow-ups
- Coordinating with internal team members
- Supporting basic shoot logistics
- Organising travel schedules and basic planning
- Maintaining simple trackers and checklists
- Ensuring clear communication between different people and teams
- Supporting selected personal and professional logistics where required
As the person settles into the role, responsibilities may expand to:
- Coordinating shoot dates, timings and requirements
- Maintaining content and shoot calendars
- Coordinating with creative teams, editors, agencies and vendors
- Tracking content deliverables and deadlines
- Organising briefs, references, products, props or other shoot requirements
- Preparing meeting notes and action points
- Following up with teams to ensure timely execution
- Helping reduce operational load from the creative team
Once trust, maturity and reliability are established, the role may grow into:
- Tracking brand collaboration timelines
- Maintaining campaign deliverable trackers
- Coordinating with brand teams and agencies
- Tracking invoice and payment follow-ups
- Coordinating contract movement between teams
- Preparing summaries of pending decisions
- Supporting founder-related business coordination
- Helping manage confidential trackers and weekly reviews
- Filtering what needs the founder’s attention and what can be handled independently
Final approvals, commercial decisions, negotiations, legal sign-offs and sensitive decisions will continue to remain with the founder and the authorised team.

- Comfort with Google Calendar, Google Sheets, Google Docs and WhatsApp coordination
- Ability to manage communication across teams, vendors and external partners
- Strong common sense and problem-solving ability
- Ability to maintain confidentiality
- Strong ownership and accountability
- Full-time in-person availability in Goa
Prior experience in any of the following areas would be helpful:
- Executive assistant role
- Founder’s office
- Creator or influencer management
- Celebrity or public personality management
- Content production
- Brand collaborations
- Agency coordination
- Events or hospitality
- Luxury client servicing
- Media, entertainment or marketing operations
You are the kind of person who remembers details, writes things down, follows up without being chased, respects confidentiality, communicates clearly, and brings order to chaos.
You should be able to support a creative leader without needing constant supervision.
You should also understand that trust in this role will be built in phases. As you prove reliability, maturity and discretion, the role may grow into a much deeper Creator Operations position over time.
This role is designed to protect the founder’s time, energy and focus.
By taking ownership of scheduling, coordination, reminders, follow-ups and operational systems, this person will help the founder focus more deeply on content creation, brand work, business growth, family and leadership.
The right person will not just manage tasks.
They will help create structure around a high-output creative life.
